Banquet and Catering Information and Policies
Thank you for your interest in holding your next
event at the Racquet Club of Memphis. Our professional staff is
here to assist you in every detail for any type of event you are
planning. Our Food and Beverage staff takes great pride in
serving the finest food and beverage items available, ranging from
hors d’oeuvres to gourmet dining. Full bar service is also
available for your use.
Menu Selection and Food and Beverage
Our printed menus are only a general guideline.
Our Special Events director will be at your service to create
custom menus for your event. We enjoy assisting you with your
every need. Let our staff show you special attention guaranteeing
the success of your event. Due to fluctuations in food cost, menu
prices can only be guaranteed (60) sixty days in advance of your
event.
Your menu selections must be finalized no later
than (14) fourteen days prior to your scheduled function. When
your menus are finalized, the Racquet Club of Memphis will prepare
a banquet agreement with all items listed. The agreement must be
signed and returned to the Special Events director. The
guaranteed head count for your function is required (2) two days
prior to your event date. Guaranteed count, once given, cannot be
reduced. A deposit is required for all social functions. Deposit
will be credited to final bill. If event is cancelled, deposit is
non-refundable. The final payment is due at the time of
guaranteed head count and any remaining balance is due within
thirty days of the event date. Payment may be made by check or
credit card. The Racquet Club of Memphis accepts Visa, MasterCard
and American Express. A 3% handling fee will be added to the
total when using a credit card.
For members all food and beverage prices are
subject to a 15% gratuity and a 3% facility fee, for non-members a
15% gratuity and a 5% facility fee, and the current state tax of
9.25%. If your group is tax exempt, we require a Tennessee tax
exemption form to be on record prior to your function date.
The Racquet Club of Memphis will provide all food,
beverages, and personnel to ensure proper service for your event.
No food or beverages, with the exception of specialty cakes, may
be brought onto Club premises. Due to health and liquor laws, no
food will be allowed to be removed from the premises without prior
approval from the manager. The law states that no liquor will be
removed from the premises, NO exceptions.
The Racquet Club of Memphis reserves the right to
refuse alcoholic beverage service to any person who, in the
opinion of the Club, has reached the point of intoxication.
Final Confirmation
Approximate number of guests expected is to be
given at the time of the initial booking; however, we must have a
guaranteed amount no later than (2) two working days prior to your
function date. Guaranteed counts are the minimum number your
group will be charged for the function, even if fewer guests
attend your function, and are not subject to reduction after the
final guarantee has been received. It is your responsibility to
inform the Special Events director of your guarantee of guests.
The Special Events director will attempt to get your count, but if
we receive no guarantee, we will consider your last estimated
number of attendees as the guarantee and you will be billed that
amount as the minimum.
Room Availability and Room Usage
The Racquet Club of Memphis has (10) ten rooms
available for your use. The number of hours the room(s) will be
in use is expected to be given at the time of initial booking.
The hours of usage will be finalized (14) fourteen days prior to
the event, along with the food and beverage menus. This time will
include breakdown time for entertainers. Standard operating hours
for The Racquet Club of Memphis are 8:00 a.m. until 12:00 a.m.
Hours may exceed standard times if arrangements are made in
advance with the Special Events director. Time that exceeds the
standard usage time will be subject to a labor fee of $100.00 plus
tax per hour.
If attendance drops or increases, we reserve the
right to change, with notification, the location of your function
or meeting. Room set-up is requested within 72 hours of the
function. If no room setup is finalized the room will be arranged
at the discretion of the Special Events staff.
The Racquet Club of Memphis is not responsible for
loss or damage of any property, which you or your guests bring on
the premises or leave on the premises before, during or after the
scheduled function- including vehicles parked on our property.
You are responsible for your guests and their actions. If there
is any damage to the premises by your guests, you will be liable
for any charges for the damages. Any damage to the Club’s linens
will be charged back to the organizer. The Club reserves the
right to require security guards for selected groups at group’s
cost.
After the function, it will be your responsibility
to remove any decorations or your own equipment on the day of the
event. If any decorations or equipment are left on the premises
without permission, Racquet Club of Memphis has the right to
dispose of them at our own discretion. Any excessive cleanup from
your function may result in an additional cleanup charge.
The hosts for any event are responsible for any and
all floral decorations. Decorations, displays or exhibits, if
any, brought onto the premises by the patron, must be approved
prior to arrival. Outside agents (florist, baker, entertainer)
must schedule with the Special Events office all times for
delivery, setup, etc. We do not permit the affixing of anything
to the walls, floors or ceilings with nails, staples, tape, tacks
or any other substances unless the Special Events office gives
approval. In the event this is done without our authorization,
the cost of repair or replacement for any damage will be billed to
the patron. The use of confetti, glitter or open flamed candles
is strictly prohibited in the Club. Candles must be in an
enclosed container.
The Racquet Club of Memphis has a small selection
of audiovisual equipment available for a fee. Other equipment is
available for rental through an accredited audiovisual company. |
